How we work

Nine steps, and the paper each one leaves you.

From the first call to the day we release the retention, every step produces a document you keep. You never have to take our word for where the job stands.

Sequence of work

How a job runs, from inquiry to warranty.

The same steps for a house, a building or a fit-out. What changes is how the work is staged and billed, which each service sheet explains.

  1. 01

    Inquiry and site visit

You tell us what you want to build, where and roughly when. An estimator calls you back, and where it helps, walks the lot or the space with you before anything is priced.

    You receive

    • An inquiry number, the day you ask
    • A site visit report: what we saw and measured
    Step 1 of 9A-301
  2. 02

    Estimate

We take off the quantities from your drawings and price every item. The estimate is a bill of quantities, so you or your QS can check each line rather than one number.

    You receive

    • The bill of quantities, item by item
    • The schedule of the work it assumes
    • What is excluded, written down
    Step 2 of 9A-302
  3. 03

    Contract and notice to proceed

The contract states the price or the rates, the completion date, the down payment, the retention and how a billing is certified. The clock starts on the notice to proceed.

    You receive

    • The signed contract and its general conditions
    • The notice to proceed, which fixes the start date
    Step 3 of 9A-303
  4. 04

    Mobilisation

The site is set up: permits posted, the construction safety and health programme filed with DOLE, the site office, fencing, temporary power and water, and the crew.

    You receive

    • The permits and the safety programme on file
    • The construction schedule, with each activity's weight
    Step 4 of 9A-304
  5. 05

    Daily site reports

Every working day, the engineer files a report: who was on site, what equipment ran, what was built, the weather, and anything that stopped the work. You see it the same day.

    You receive

    • A daily site report for every working day, with photos
    Step 5 of 9A-305
  6. 06

Progress billing, certified by your QS

Each period we claim what was done. Your quantity surveyor checks it on site and certifies what they agree with, and we bill only the certified amount. Claimed and certified stay side by side on the billing.

    You receive

    • The progress billing: contract, billed before, this billing, to date
    • Retention and down-payment recoupment shown on every billing
    Step 6 of 9A-306
  7. 07

    Change orders, in writing

When you change something, or the site makes us, the change is priced and its effect on the completion date stated before it is built. Nothing extra is billed without a signed change order.

    You receive

    • A change order: what is added or omitted, the cost and the days
    Step 7 of 9A-307
  8. 08

    Punch list and turnover

Before turnover we walk the work with you and list every defect. Each item is assigned, fixed and closed. The keys are handed over when the list is clear.

    You receive

    • The punch list, every item closed
    • The certificate of completion and the as-built drawings
    • The equipment warranties and manuals
    Step 8 of 9A-308
  9. 09

Warranty and the release of retention

For the warranty period after acceptance we come back for any defect in our work. When it ends, the retention held from every billing is released to us in a final billing.

    You receive

    • The warranty, with its period and what it covers
    • The retention release billing, and the final account
    Step 9 of 9A-309

Progress billing

What a billing takes off, and why.

Two amounts come off every progress billing before it is paid. Neither is a charge: one pays back money you already advanced, the other is held to protect you until the work is accepted.

Down-payment recoupment. The down payment you pay at the start lets us mobilise. Each billing pays a share of it back, at the same percentage, until it is fully recouped. The last billing takes only what is left of it, never more.

Retention. A percentage of every billing is held back. It is released after acceptance, or at the end of the warranty if the contract says so, once any defect we owe is fixed.

Both percentages are written in your contract. VAT and the withholding tax your accountant deducts are shown on the billing separately.

Worked exampleA ₱10,000,000 contract with a 15% down payment and 10% retention.
